Tools and apps to use
Online conferencing tools are useful. There are those that are readily available, such as Skype for Business, Teams and Zoom, which are highly effective for holding meetings. Within the academic arena, virtual conferencing and seminars can take place on Adobe Connect, Collaborate, GoToMeeting and Conferences. Generally, all of these examples are good for connecting with people. Many of these products also offer facilities to upload presentations, chat boxes and virtual flip charts, where creative thinking can still take place.
Best way to communicate
The best way to communicate is to ensure meetings are planned in advance and that they have a purpose and the technology suits all participants. If it is the first time using the online conferencing system, then send out a crib sheet in advance to enable all participants to connect easily. Though a quick response email can be effective, try not to overload inboxes, and remember to consider the receiver of the message by thinking about tone and the key terms of reference to be included in the message.
How to share data
Data can be shared virtually using a conferencing tool, however it could be safer to share the data via password protected documents on email. Using Teams, Sharepoint and O365 facilities is also effective and a speedy way to communicate important data and information.
How do you keep team morale high
Keep business as usual online, but also have some social space. For example, use Yammer as a staffroom or water cooler where employees can express themselves freely and safely. Check-in frequently with your employees and ask after their wellbeing. After all, this is a stressful time for all.
How do you encourage colleagues to take care of their mental health
Share employee welfare hotlines and key advice with all colleagues as soon as people start working from home. Be open with all employees, be human and offer the open door policy online, for example, via Skype or a phone call. Ensure that employees realise that you are aware that children etc. may challenge their 9-5 routine. As such relax the working hours and allow employees to work when it fits with them. Check-in on employees to ensure they are working their normal daily hours and that they are not working over their maximum contractual obligations. Be supportive, be visible and demonstrate to employees that you are also looking after yourself!
